Plot booking form format in Pakistan: what to include (free template)

Free plot booking form template for Pakistan in Word and PDF

A plot booking form is the first signed paper between a buyer and the company selling the plot. It records which plot is being booked, who is buying it, the price and payment plan, the money paid today, and the terms both sides accept. A good form prevents most of the disputes that come later: double booking, unclear refunds, missing nominee details and “I was promised a different price”.

Below is the format that works for housing schemes and real estate marketing companies in Pakistan, section by section, followed by a free editable template you can download in Word or PDF.

Booking form, booking file and allotment letter: what’s the difference?

People often use these words for the same thing, but they are different stages:

Document When What it does
Booking form / application form Day of booking Buyer applies for a specific plot and pays the down payment. Records terms and payment plan
Booking file / customer file After booking The company’s complete record for that buyer: form, receipts, installment schedule, correspondence
Allotment letter After allotment or balloting Confirms the exact plot allotted to the buyer, usually issued once a set amount is paid

This article covers the first one, the form signed on booking day.

What a complete plot booking form should include

1. Header and reference numbers

  • Company name, logo, office address and contact numbers
  • Project name, developer name and the approval or NOC reference of the scheme
  • A unique form number, booking date, and the dealer or agent code

A unique form number matters more than it looks. Without it, two copies of “the same” form can circulate, and nobody can prove which one is real.

2. Plot details

  • Block or phase, plot number, size (marla or square feet) and category (residential or commercial)
  • Special features: corner, park-facing or main road, and the extra charge for each (often a percentage of the price)

Write the plot number on the form only after checking that the plot is actually free. Most double bookings happen because two agents fill in forms for the same plot on the same day.

3. Buyer details

  • Full name and father’s or husband’s name, exactly as on the CNIC
  • CNIC or NICOP number, date of birth, mobile or WhatsApp number, email
  • Present and permanent address
  • A recent photograph

4. Nominee

  • Nominee’s name, relationship, CNIC number and contact number

The nominee section is often left blank, and that causes real problems for families later. Make it a required field.

5. Price and payment plan

  • Total price, extra charges, and the down payment (amount or percentage)
  • The installment plan: number, frequency (monthly, quarterly) and amount
  • Due date of the first installment
  • Any balloting, allotment or possession payments

6. Payment received with the form

  • Payment mode (cash, cheque, pay order or bank transfer), instrument number, bank and amount
  • The receipt number issued against this payment

7. Key terms and conditions

These are the clauses that decide almost every dispute. At minimum, the form should state:

  • How payments are accepted: for example only by pay order or into the company account, and only on official receipts
  • Late payment surcharge: the rate and from when it applies
  • Cancellation: after how many missed installments, the notice given, and the deduction
  • Surrender and refund: the deduction if the buyer withdraws, and within how many days the balance is refunded
  • Transfer: allowed only after dues are cleared, and the transfer fee
  • Other charges: development, possession, utility connections and government taxes
  • When the booking becomes final: for example only after the down payment has cleared
  • False information: the consequence of concealment or fraud

A real example. The application form for OPF Town on Raiwind Road, Lahore, published by the Overseas Pakistanis Foundation, asks for a 35% down payment with eight quarterly installments. It states a 14% annual surcharge on late payments and possible cancellation after two consecutive missed installments, with 10% of the deposit deducted (OPF application form). Your numbers will differ. The point is that good forms put numbers in writing, not “as per company policy”.

8. Documents checklist

Copy of buyer’s CNIC, copy of nominee’s CNIC, two photographs, payment proof, and anything else your project requires.

9. Declaration and signatures

The buyer’s signature and thumb impression, the dealer or agent’s signature, and the authorised signatory’s signature with company stamp.

10. Office use and buyer’s slip

An “office use only” box (who checked inventory, who entered the booking, verification code), and a tear-off acknowledgement slip the buyer keeps, with form number, plot, amount and receipt number.

Common mistakes that cause disputes later

  • Plot number written before checking availability, which leads to double booking
  • Blank nominee section
  • Terms written as “as per policy” instead of actual percentages and days
  • No unique form number, or numbers reused across projects
  • Overwriting and cutting on the form without initials
  • Receipt not linked to the form, so payment history is hard to prove later
  • Buyer leaves without a copy or acknowledgement slip

The template has all ten sections above on two A4 pages, with your company name, project and terms left as fields to fill.

How to use it:
1. Replace “[Your company name / logo]” and the project and approval details.
2. Fill in the bracketed numbers in Key terms with your actual policy.
3. Have the terms checked by a lawyer before you print. This template is a starting point, not legal advice.
4. Print with a unique form number on each copy.

Paper form or digital booking?

A paper form works, but it depends on people. Someone has to check the plot is free, copy the details into a register, and keep the file safe. With a digital booking system, those steps happen automatically:

  • The plot is reserved the moment the booking is made, so a second agent cannot book it.
  • Each buyer gets a Customer ID, with CNIC, nominee and photo on record.
  • The payment plan creates the installment schedule automatically.
  • Printed booking files and receipts carry a QR code and verification code, so anyone can check they are genuine on the verify page.

That is how Baalki handles bookings (see booking features). Many companies keep a printed form for the buyer’s signature and use the system as the single record behind it.

FAQ

Is a plot booking form a legal agreement?

It records the terms both sides signed, so it matters a great deal if there is a dispute. How it is treated depends on its wording and on the law and authority that apply to your project. For anything beyond general guidance, speak to a property lawyer.

Who keeps the original booking form?

Usually the company keeps the signed original in the buyer’s file, and the buyer receives a copy or the acknowledgement slip with the receipt.

Can a buyer get a refund after booking?

Only according to the terms on the form. That is why the surrender and refund clause should state the deduction and the refund period clearly.

What should a buyer check before signing?

That the project is approved, the plot number and size are correct, the price and payment plan match what was promised, and the cancellation and refund terms are written with numbers. Our guide on how to check whether a plot file is genuine covers this in more detail.
