Most real estate marketing companies in Pakistan start with a register, a few Excel sheets and a busy WhatsApp group. That works for the first project. By the third project, with twenty agents and hundreds of files, it starts to cost money: plots get double-sold, commission is argued over and nobody is sure how much of the cash in the office belongs to the developer.
Software can fix this, but only if it is built for how a marketing company actually works. A marketing company does not build anything. It sells plots, houses, flats and shops on behalf of developers and owners, and earns a commission. Generic CRM or accounting software misses most of that. Here is a checklist of what matters.
1. One live inventory everyone can trust
The first job of any real estate software is a single list of every unit with its real status: available, on hold, booked or sold. When an agent books a plot, everyone else must see it as booked at once, on their phone, without waiting for someone to update a sheet.
- Units added one by one, as a numbered range (Plot 1 to 200), or from your existing Excel sheet
- Holds that keep a unit aside for a customer for a set time and release it by themselves
- Price changes for one unit or many at once, with a record of who changed what
2. Booking Files, not just “sales”
In Pakistan the Booking File is the heart of every deal: the unit, the buyer, the price, the payment plan and every receipt. Good software should make the file in a few steps, give every buyer a customer number, and print the file and receipts with your company’s details.
Ask whether it supports the payment plans you actually sell on: down payment in parts, monthly, quarterly or half-yearly installments, balloon payments and possession amounts.
3. Installments, cheques and dues
Much of a marketing company’s work happens after the booking. You need to see who must pay, who is late (oldest first) and which cheques are still waiting to clear. A one-tap reminder on WhatsApp saves hours of phone calls.
4. Commission that is worked out for you
Commission is where most arguments start. Your software should know the deal you agreed with each developer and the rate for each agent, and split every cleared payment automatically: your commission, the agent’s share and the developer’s money. Agents should see their own earnings, but never the company’s commission.
5. Clarity about whose money it is
Cash in the office is not all yours. Part of it belongs to developers and part is owed to agents. Software that shows this clearly, and prints a statement when you send money to the developer, keeps relationships clean and avoids nasty surprises.
6. Papers buyers can check
Fake files are a real problem in Pakistani real estate. Software that prints a QR code and a verification code on every Booking File and receipt lets a buyer, a bank or a family member confirm the paper online. That builds trust and helps you sell.
7. Built for phones and for people new to software
Your agents are in the field, often with weak signal. Look for software that works well on a phone, keeps inventory and quotations available offline, and uses plain words instead of accounting terms. If your team needs training to understand it, they will go back to WhatsApp.
8. Moving in should take days, not months
You already have customers, files and payments in registers. The software should let you upload your old customer list and your existing Booking Files with what each buyer has paid, so you do not start from zero.
