Practical checklists for real estate marketing companies
Simple routines that prevent lost leads, booking disputes, missed installments and commission arguments. Use them on paper, in Excel or in Baalki.
Checklist 1 of 5
Lead follow-up checklist
Most enquiries are lost to a follow-up that never happened. Use this for every new lead.
- Record the lead the same day: name, mobile number, source and the project they asked about
- Note their budget, preferred size and whether they want a plot, house, flat or shop
- Set the next follow-up date before you end the first call
- Send a short WhatsApp message after the call with the details they asked for
- Offer a site visit within a week while their interest is high
- After each contact, update the status: contacted, interested, visit planned, booked or not interested
- Review all leads with no follow-up date every morning
- Record why a lead was lost, so marketing spend goes to sources that convert
How Baalki helps
In Baalki every lead carries its source, status and next follow-up date, and the dashboard shows who needs a call today.
Checklist 2 of 5
Booking process checklist
A booking done carefully on day one prevents disputes for years. Check each step before the file is handed over.
- Confirm the unit is available and not on hold for another buyer
- Collect the buyer’s full name, father’s or husband’s name, CNIC, address and mobile number
- Record the nominee and their CNIC if the buyer wants one
- Agree the final price, any discount and who approved it
- Choose the payment plan and confirm the down payment and installment dates
- Issue a numbered receipt for the down payment the same day
- Have the buyer sign the booking form and keep a copy of the CNIC
- Give the buyer the Booking File with the full payment schedule
How Baalki helps
Baalki makes the Booking File in three steps, books the unit immediately, prints the schedule and receipts with your logo, and adds a QR code buyers can verify.
Checklist 3 of 5
Installment follow-up process
Late installments are easiest to collect in the first days. A simple routine keeps collections on track.
- A few days before each due date, send a polite reminder with the amount and date
- On the due date, check which payments have arrived and which cheques were deposited
- Call buyers who are late, oldest first, and record what they promised
- Follow every cheque until it clears, and contact the buyer the same day if one bounces
- Share a statement with the buyer whenever there is a disagreement about what was paid
- Review the list of late files every week with the owner
How Baalki helps
Baalki’s dues list shows who is late, oldest first, with one-tap WhatsApp reminders, and tracks each cheque through deposit, clearing or bounce.
Checklist 4 of 5
Commission reconciliation checklist
Commission arguments start when each side keeps its own numbers. Reconcile on a fixed routine.
- Write down each project’s commission terms with the developer, and how it is split
- Write down each agent’s commission rate before they start selling
- Count commission only on money that has actually cleared
- Keep the developer’s share separate from the company’s money until it is sent
- Reverse commission if a cheque bounces or a booking is cancelled, according to your agreed rules
- Give each agent a statement of what they earned and what was paid
- Reconcile with each developer every month, project by project
How Baalki helps
Baalki splits every cleared payment by your terms into developer money, agent commission and company commission, and prints payout slips and developer statements.
Checklist 5 of 5
Inventory import guide
Moving your inventory from Excel is the fastest way to start. Prepare one sheet per project with these columns.
- Unit number (required) and, where used, Block, Phase and Street
- Type: plot, house, flat or shop
- Size and Size unit, for example 5 and marla
- Rate per size unit or Total price; amounts like ’45 lakh’ or ‘1.2 crore’ are fine
- Preferences such as corner or park facing
- For houses and flats: Bedrooms, Bathrooms, Covered area (sq ft) and Floor
- Notes for anything else
- Make sure no two units share the same number in the same block
How Baalki helps
Baalki gives you this template, checks every row and lists problems by row number before anything is saved. Up to 2,000 units in one upload.
